Job Summary:

Community Smiles Dental (CSD) is seeking an energetic and compassionate team-oriented receptionist to join our staff and support our Menomonee Falls location. CSD was established in 2008 as a full time safety net clinic serving low income children, pregnant women and adults with special needs. In April of 2015, the Foundation of the American Academy of Pediatric Dentistry awarded CSD an exclusive care grant that was awarded to only two dental clinics in the nation. In August of 2018, a second clinic location was opened in Menomonee Falls. The clinics are funded by donations, grants and Medicaid payments. The clinics operate from 8 am-12 pm and 1 pm-4:30 pm Monday through Thursday and on Friday from 8 am-2 pm.

Duties & Responsibilities

Duties and Responsibilities:

  • Supports mission, vision and core values of Community Smiles Dental through providing exceptional patient care (customer service).
  • Opens and closes the front desk operations of the clinic.
  • Answer phones and makes reminder phone calls to patients with upcoming appointments.
  • Answer phones and determines patient eligibility and/or makes verbal referral to direct patients to dental care, triages patient needs over the phone.
  • Coordinates Patient Care; verifies patient insurance and eligibility, patient check in and check out, manages patient paperwork, schedules appointments, etc.
  • Screens all patients at time of phone confirmation and upon arrival to the clinic for COVID-19.
  • Manages incoming referrals and related correspondence through follow up phone calls and scheduling.
  • Follows up on incoming fax and email correspondence.
  • Adheres to all HIPAA Guidelines.
  • Coordinates and communicates all front desk related activities with appropriate leadership and staff.

 

Physical and Mental Demands

  • Ability to hear and speak continuously throughout the clinic day.
  • Ability to frequently look at computer monitors for documenting, scheduling, etc.
  • Ability to sit for long periods throughout the clinic day.
  • Ability to occasionally lift and/or slide 10-20 lbs. at a time.
  • Ability to use logical reasoning and decision making to interact with patients and coworkers throughout the clinic day.
  • Ability to use hands and wrists continuously to accomplish small motor skills such as typing.

Skills and Qualification:

  • Requires reading, writing and arithmetic at a level normally acquired through completion of high school or equivalent.
  • Two years of related experience preferred.
  • Working knowledge and demonstrated proficiency with Microsoft Office/Google Suite required.
  • Excellent interpersonal skills necessary to interact with patients and clinic team.
  • Requires a high level of organizational skills with the ability to concentrate and pay close attention to detail and manage multiple projects/tasks from start to finish.
  • Excellent verbal and written communication skills.
  • Must be self-directed with the ability to function independently.
  • Bilingual in Spanish preferred.

Job Summary:

Community Smiles Dental (formerly the Waukesha County Community Dental Clinic) was established in 2008 as a full time safety net clinic serving low income children, pregnant women and adults with special needs. In April of 2015, the Foundation of the American Academy of Pediatric Dentistry awarded Community Smiles Dental an exclusive care grant that was awarded to only two dental clinics in the nation. In August of 2018, a second clinic location was opened in Menomonee Falls to respond to growing demand and increase access to care. The clinics are funded by donations, grants and Medicaid payments. The clinics operate from 8a-12p and 1p-4:30p Monday through Thursday and on Friday from 8a-2p.

Duties & Responsibilities

Core Clinical Responsibilities 

  • “Tell Show Do” model at every appointment with patients.
  • Assists multiple staff dentists with chairside treatment.
  • Teach patients and patients’ parents/guardians how to practice good oral hygiene.
  • Chart conditions of decay and disease for diagnosis and treatment by dentist.
  • Supports clinical cleanliness and infection control through thorough room turnover and instrument sterilization.
  • Communicates post-operative care instructions with patient and their family including medications and referrals for specialty care, etc.
  • Assists with equipment maintenance routines and needs.
  • Facilitates pre-authorizations and adult treatment contracts.

 

Day-to-Day Responsibilities

  • Supports mission and values of Community Smiles Dental emphasizing patient education and early prevention through clinical work.
  • Clocks in for work no later than 7:45a in the morning and no later than 12:45p in the afternoon. Clocks out once clinical responsibilities are wrapped up for the afternoon, no later than 4:45pm.
  • Work with a sense of urgency to ensure room is set up and taken down in a timely fashion, patients appointments occur according to schedule and all patient notes are completed before seating next patient.
  • Uses feedback given from Clinical Manager and Director of Operations in order to meet clinic production goals.
  • Maximizes down time to support clinic operations such as sterilization, instrument sharpening and general supply organization.

  • Ability to accurately perform frequent clinical exams throughout day
  • Ability to sit and/or stand for long periods throughout the clinic day.

  • Ability to use logical reasoning and decision making to interact with patients and coworkers throughout the clinic day.
  • Ability to use hands and wrists continuously to accomplish small motor skills.

Skills and Qualifications

  • Two years or more of experience in providing dental services is preferred.
  • Experience in community-based healthcare setting; knowledge of community resources.
  • Strong communication and assessment skills; ability to work independently and as part of a team.
  • Ability to work with people from diverse backgrounds.
  • Bilingual in Spanish preferred.
  • Experience with Dentrix or other electronic medical record keeping preferred.
  • Patient-focused, team-oriented, mission-driven.
